Car Rental Agreement
All vehicle rentals in Darlington are governed by a comprehensive Rental Agreement, which you will receive at the time of booking confirmation or vehicle pickup. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will take priority.
Eligibility Criteria
Renting a vehicle with us requires:
- To hire a vehicle from Car Hire in Darlington, you must be at least 21 years old, though age restrictions may differ based on the vehicle type. A valid, full driving licence relevant to the vehicle category is required, held for the minimum duration stated in the Rental Agreement. Valid identification and proof of your current address must also be provided, alongside payment information and a security deposit. Additional requirements may be outlined in the Rental Agreement.
Booking and Payment Process
- Reservations can be placed via our website, by telephone, or directly at our Darlington office. A deposit may be necessary to confirm your booking. The remaining balance and a security deposit are usually payable upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, processed securely by trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is important to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be created and signed to document the state of the vehicle. Upon return, the vehicle should be in the same condition as when it was collected, taking into account normal wear and tear. Any new damage will be evaluated and may result in additional charges. The vehicle must be returned with the same fuel level as when collected; otherwise, refueling fees will apply. Late returns can lead to extra charges, so please inform us promptly if you foresee a delay. You are responsible for any parking fines, traffic violations, or other charges incurred during your rental, along with a corresponding administration fee.
Insurance and Liability Terms
- All rentals include basic third-party insurance. You will find comprehensive coverage details and excess amounts outlined in your Rental Agreement. Additional insurance options may be offered to help lower your financial responsibility. It is beneficial to review these options thoroughly. You are accountable for any damage or loss up to the insurance excess, unless additional coverage is purchased. Damage resulting from negligence, misuse, or violations of these Terms remains your responsibility, regardless of insurance provisions.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice given. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur additional charges.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle must not be used for any illegal activities or purposes. Engaging in racing, rallying, off-roading, or other high-risk activities is prohibited. Transporting hazardous materials or sub-letting the vehicle to unauthorized individuals is not allowed. Operating the vehicle under the influence of alcohol or drugs is strictly forbidden. Additionally, using the vehicle for purposes it was not intended for, exceeding passenger or weight limits, or driving outside designated geographical areas without prior consent is unacceptable.
Violation of these terms may lead to rental cancellation and extra fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire Darlington is not responsible for any indirect, incidental, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claim is limited to the amount paid for the rental in the past year. This limitation does not apply to cases of negligence resulting in death or personal injury, or to instances of fraud.

These Terms are regulated by the laws of England and Wales. Any disputes will be handled exclusively by the courts of England and Wales.
